Space and Display Information:
Spaces are approximately 12’x 12’. Exhibitors must provide their own display tents, tables, and props, all of which must be confined within the assigned space. No booth may be constructed of materials that may be dangerous to the public. Tents should be secured in the event of wind using sandbags rather than stakes. Your space must be staffed at all times and any sales must only be conducted from your allotted space. Exhibitors may not change their space location without the approval of the Apple Valley Freedom Days committee. We will try to accommodate, but cannot guarantee any special request. Electrical facilities and lighting are NOT available at this site. Exhibitors needing electricity will need to provide their own generators.
Apple Valley Freedom Days organizers will select applications with an eye toward maximizing the participants’ experiences, considering, in its sole judgment, criteria such as: variety and quality of products/services, balance among targeted categories, balance of price ranges, contribution to an eclectic atmosphere, and appropriateness for family entertainment. You will be notified of selection within 14 working days of receipt of your application and check. If not selected, your check will be returned immediately.
Weather and Set-up/Tear-down:
Family Fun Night and the Business Fair will not be held in severe inclement weather. Cancellation is at the discretion of the Apple Valley Freedom Days committee. A refund of the exhibitor fee will be issued only if the event is canceled by the Freedom Days Committee. Tents must be secured using sandbags rather than stakes. Spaces will be available for setup from 3:00 – 5:00 pm on July 3, 2019. Exhibitors should be set up and ready for business by 5:00 pm. No vehicle parking will be allowed in the immediate vicinity of the vendor display area. Vehicles must be removed from the area by 4:50 pm. Tear down may begin at the exhibitor’s convenience after 9:00 pm, but no vehicles will be allowed into the area until 10:00 pm. Exhibitors are responsible for disposing of all trash in the appropriate containers.
It is the responsibility of the exhibitors to charge and collect the appropriate state sales tax if sales are conducted. This money must be submitted to the Minnesota Sales and Excise Tax Division. Further information is available at www.taxes.state.mn.us. You must provide your Minnesota Sales Tax Number to the Apple Valley Freedom Days committee and, on request, a copy of Minnesota’s Operator Certificate of Compliance.
Each exhibitor is strongly encouraged to carry business liability insurance or, at least, a rider on his/her homeowner’s insurance policy that covers and damages or injury to property, staff, customers or others who might be harmed. The Freedom Days Committee neither offers nor carries insurance covering damage or injury resulting from exhibitors’ actions, products, services, decisions or negligence. The Freedom Days Committee reserves the right to require an exhibitor to carry specific insurance in situations it deems appropriate.
All exhibitors are responsible for maintaining their booths and the area immediately outside their booths so as to minimize any risk of injury to the public or others present at Family Fun Night.
Exhibitors will remain in compliance with all federal, state and local laws, codes and regulations. Lack of compliance may result in expulsion from the vendor fair.
All proceeds from booth rentals received by the Apple Valley Freedom Days Festival Committee are used to cover expenses related to the Dancin’ and Cruisin’ street dance, Family Fun Night, Music in the Park, July 4th Parade, Fireworks, and other community events during the festival.
